Who this notice covers
This notice covers hackai.live and the founding-member application for Hack AI Foundry in Austin. The operator is Actify Automations LLC. Event registration on Luma and other external websites is governed by those services’ own notices.
Information you provide
The application asks for your name, email, LinkedIn and GitHub profile URLs, company or business, role, current work, a work or portfolio link, and what you would contribute to the community. It also asks for your workspace preference, team size, move-in timing, expected presence, optional private-network interest, and permission to contact you about membership.
Include only information you are authorized to share. Do not submit passwords, financial account details, confidential client information, or sensitive personal information about yourself or others.
How the information is used
Authorized staff use your application and the professional links you provide to assess workspace fit, discuss availability, and contact you about membership. Staff may record internal review decisions and notes. Submission IDs and receipt times help process requests and prevent duplicate submissions.
The application flow does not collect payment details, create a member account, or automatically grant membership.
Website requests and browser storage
Loading a website sends technical request information, such as an IP address and browser details, to its hosting infrastructure. The application service uses request metadata and your IP address in short-lived rate-limit records for abuse prevention. Its application logs record request IDs and response status rather than the submitted answers.
Answers remain in the open page while you complete the form and are sent to the application service when you submit. This site does not save a draft of your answers in browser storage. After a confirmed submission, it stores a timestamp in session storage so the thank-you page can recognize the confirmation. That entry contains no application answers and is not an advertising identifier.
When enabled, we use PostHog to measure public page visits, membership-link and outbound-link clicks, form starts, submission attempts and outcomes, and generic browser-error counts. Analytics does not include application answers, names, email addresses, profile links, URL query strings, or error-message details. A successful submission event may include its random submission ID so authorized operators can check delivery. Analytics identifiers remain in page memory; we do not store analytics cookies or identifiers in browser storage, create analytics person profiles, or record sessions. PostHog receives technical request information when analytics is enabled. Collection respects browser Do Not Track and Global Privacy Control signals.
Storage and access
Applications are stored in the Office backend and made available to authorized internal reviewers. Hosting and infrastructure services process information needed to operate the site and application service. Applications are not published in a public directory by this flow.
We use access restrictions to protect the review system. No internet transmission or storage system can be guaranteed completely secure.
Retention and requests
We keep unsuccessful applications for up to 12 months after a decision. Active waitlist applications remain on file while you’re under consideration. You can contact hello@hack.ai to withdraw or request deletion.
To ask about your information, request a correction or deletion, or withdraw from consideration, contact: hello@hack.ai Please provide enough information to identify the application, but do not email passwords or identity documents unless a secure verification process is arranged. Requests are subject to applicable legal requirements.
External services
Following an event or professional-profile link takes you to an external service with its own privacy practices. Providing a LinkedIn or GitHub URL does not give this site access to your account password or permission to change your account.
